Privacy Policy
Last updated October 31, 2026
This website is run by Huntington (the “Association,” “we” or “us”), the homeowners association for our community, to serve its homeowners and residents. This policy explains what personal information the site collects, how we use it, who we share it with, and the choices you have.
Information we collect
Information you give us.
- Your account: your name, email address and password (stored only in scrambled, one-way form), your property address, and, if you add them, your phone number, profile photo and the members of your household.
- Payments: the amount, date, method and status of each payment, and the reference number the payment company gives it. See Payments below for bank details.
- Things you send or post: messages to the board, forum posts, private messages, architectural requests, form and survey answers, votes, amenity reservations, guest notices, photos and documents you upload, and an e-signature if you are a board member who signs letters.
- Contact preferences: whether you want non-essential email, and whether you have agreed to receive text messages.
Information the Association keeps about properties. As part of running the community, the board keeps records such as each household’s dues and balance, invoices, lot number, covenant violation notices and fines, and notes about the property.
Information collected automatically.
- Your IP address and browser details, in our server logs and when a sign-in attempt fails, to keep accounts secure and to block spam and break-in attempts.
- A record of changes made through the site (who changed what, and when), so the board can keep an accurate history of the Association’s records.
- Whether our community emails were delivered, opened or clicked, so the board knows its notices are reaching people.
Cookies
We use only the cookies the site needs to work: one that keeps you signed in, and one that protects forms from being submitted by other websites. We do not use advertising cookies or analytics trackers, and we do not track you across other websites. The security checks and the payment form described below may set their own cookies to tell people from bots and to prevent fraud.
How we use your information
- To run your account and confirm that you live in, or own a home in, the community.
- To bill and collect dues, assessments and fees, and to keep the Association’s financial records.
- To send you notices about the community, your account and your property, including notices the Association’s governing documents or the law require.
- To run community features such as the member directory, events, voting, the forum and amenity reservations.
- To enforce the Association’s covenants and rules.
- To keep the site secure and stop spam and abuse.
Payments
Online payments are handled by Stripe, our only payment processor. Online payments are by bank account (ACH). When you pay, you enter your bank details into Stripe’s secure form, which appears on our Pay Now page. Your bank account details go straight to Stripe. They never pass through or get stored on our servers. Stripe tells us whether the payment went through, and we keep the amount, date, method and Stripe’s reference number for it. So that Stripe’s records and receipts show who paid, we give Stripe your name, email address and household name when you pay online. Stripe handles your information under its own privacy policy, including to prevent fraud. If you pay by check or cash instead, the treasurer records the payment, and the check number if there is one.
Who we share your information with
We do not sell, rent or trade your personal information, and we do not share it for advertising. We share it only:
- With the board and the volunteers who help run the Association, as far as each of them needs it for their role.
- With other residents, only if you choose to. The member directory shows your name, and your address, email and phone number only if you choose to share them. You can change this any time on your profile. Things you post in the forum or other community areas can be seen by other members.
- With companies that help us run the site, which may use it only to provide their
service to us:
- Stripe, to take online payments.
- Amazon Web Services, which hosts the site and delivers our email.
- Twilio, which delivers text messages if you agreed to receive them.
- Google reCAPTCHA (on the registration form) and Cloudflare Turnstile (on the contact and password reset forms), which check that a person, not a bot, is filling in the form. reCAPTCHA is subject to Google’s Privacy Policy and Terms of Service.
- Google and Microsoft, only if you choose to sign in with your Google or Microsoft account. They tell us your name and email address; we never see your password with them.
- Google Fonts and public code libraries (jsDelivr, cdnjs), which provide the site’s fonts and page code and can see your IP address when your browser loads them.
- With the Association’s attorneys, accountants, auditors, insurers and managers, when they need it to advise or work for the Association, including to collect unpaid assessments.
- When the law requires it, such as a subpoena or court order, when the law or the Association’s governing documents give homeowners or others a right to see certain records, or to protect the safety or rights of residents, the Association or others.
Text messages
We send text messages only to members who agreed to receive them, and we never send them for marketing by anyone else. Message and data rates may apply. Reply STOP to stop receiving texts, or turn them off in your communication preferences. We do not share your phone number or text message consent with anyone else for their own marketing.
How long we keep your information
We keep your account information while you have an account. Financial records, such as payments, invoices and the ledger, along with the history of changes to them, are part of the Association’s official records. We keep those as long as the law, our accountants and the Association’s governing documents require, even after you move away or close your account.
How we protect your information
The site uses encrypted (HTTPS) connections, scrambles passwords so no one, including the board, can read them, offers two-step sign-in, locks accounts after repeated failed sign-ins, and lets each person see only what their role allows. Bank account details for online payments are handled only by Stripe. No system is perfectly secure, but we work to protect your information, and we will tell you if a breach exposes it.
Your choices
- Review and update your information on your profile at any time.
- Choose what the member directory shows about you and your household.
- Turn off non-essential email with the unsubscribe link in any community email or in your communication preferences. We will still send notices about your account, your property and your dues.
- Stop text messages by replying STOP.
- Ask us for a copy of your information, to correct it, or to close your account and delete what we are not required to keep, by contacting the board below.
Children
This site is meant for adult homeowners and residents. We do not knowingly collect personal information from children under 13. If you believe a child has given us information, contact us and we will delete it.
Changes to this policy
If we change this policy, we will post the new version here and update the date at the top. If a change is significant, we will also let members know by email or with a notice on the site.
